12th Tee Golf Ltd (“12th Tee”, “we”, “us”) operates an indoor golf facility, coaching and club fitting services at Taupō Golf Club, 32 Centennial Drive, Tauhara, Taupō. This policy explains how we handle personal information when you contact us, respond to an advertisement, book or visit, or take part in a 12th Tee activity.

What we collect

Depending on how you interact with us, we may collect:

• Your name, contact details and the information you submit through a Facebook or Instagram lead form, message or other enquiry.

• Booking, payment and membership details, including the services you use and your visit history.

• Information relevant to a lesson or fitting, such as your golfing goals, equipment preferences, swing data and TrackMan results.

• Event and programme details, including a parent or guardian’s contact details for a junior golfer.

• Feedback you give us and correspondence with our team.

• Photos or video taken for coaching, events or promotion, where we have told you about the recording and have an appropriate basis to use it.

Please tell us only what we need to help with your enquiry or service. If a health condition or accessibility need affects your participation, you can choose to tell us so we can assist you.

How we use your information

We use personal information to:

• Respond to enquiries and follow up on the specific offer or service you asked about.

• Arrange and manage simulator bookings, memberships, lessons, fittings and events.

• Deliver coaching and fittings, track progress, and provide recommendations you request.

• Process payments, keep business records and manage access to our facility.

• Improve our services and understand how our advertising is performing.

• Send news and offers about 12th Tee where we have the required consent or another lawful basis to do so.

 

Submitting a Meta lead form does not, by itself, mean you have signed up for all future marketing. We may contact you about the enquiry you submitted. If we invite you to receive ongoing promotional emails or texts, we will make that choice clear. You can unsubscribe from promotional messages at any time using the instructions in the message or by emailing us.

 

Meta ads and website activity

If you submit a form on Facebook or Instagram, Meta provides us with the details you choose to submit so we can respond. Meta also handles information about your use of its platforms under its own privacy policy.

Where we use website cookies or Meta advertising tools, they may help us measure visits and ad results or show relevant ads. Your browser and Meta account settings provide controls over some of this activity. We do not put a golfer’s private coaching notes or TrackMan results into an ad.

 

Who we share information with

We share information only where needed for the purposes described in this policy, where you authorise it, or where the law allows or requires it. This may include providers that support our bookings, memberships, coaching technology, payments, email, advertising and business administration.

 

As 12th Tee operates at Taupō Golf Club, we may share the limited information needed to coordinate a joint booking, event, service or facility matter with the club. We do not give the club an entire enquiry or coaching record simply because you contacted 12th Tee.

 

Some service providers may store or process information outside New Zealand. We take reasonable steps to ensure that any overseas disclosure meets the requirements of New Zealand’s Privacy Act 2020.

 

Photos, video and junior golf

We may photograph or film activities at 12th Tee. We will explain the intended use when seeking permission for an identifiable promotional photo or video. We seek appropriate permission before using an identifiable junior golfer’s image for promotion. You can tell our team if you do not want to appear in event imagery.

 

Coaching video and swing data are used to deliver the coaching or fitting service. We will ask before using an identifiable golfer’s coaching footage as a testimonial or advertisement.

 

Keeping information safe and for no longer than needed

We use reasonable safeguards to protect personal information from loss, unauthorised access, misuse and disclosure. Access is limited to people who need the information for their work.

 

We keep information for as long as needed for the reason it was collected and any applicable business, accounting or legal requirements. We then delete it or securely dispose of it. If a privacy breach is likely to cause serious harm, we will notify affected people and the Office of the Privacy Commissioner as required by law.

 

Your choices and rights

You can ask to see the personal information we hold about you and ask us to correct it. You can also ask about our use of your information, withdraw a marketing permission, or raise a privacy concern.
